QuickBooks Cleanup — Signs Your Books Are a Mess (And How to Fix Them)

QuickBooks is a fantastic tool — when it's set up correctly and maintained properly. But in our experience (and more than half our staff are Certified QuickBooks ProAdvisors), most small business QuickBooks files we see for the first time need some level of cleanup. Sometimes minor. Sometimes... not minor.

Here's how to tell if your QuickBooks file needs professional attention.

1Your Bank Reconciliation Doesn't Match

If the balance in QuickBooks doesn't match your bank statement, something is off. This is the single most important check in bookkeeping, and if it hasn't been done in months (or ever), your books are unreliable. Every number that flows from there — profit, taxes owed, cash available — is wrong.

2You Have a Mountain of Uncategorized Transactions

QuickBooks can import bank transactions automatically, which is great. But those transactions need to be categorized correctly. If you have hundreds of transactions sitting in "Ask My Accountant" or "Uncategorized Expense," your profit and loss statement is meaningless.

3Your Accounts Receivable Shows Invoices from Two Years Ago

If you have old, unpaid invoices sitting in your A/R that were actually paid (or written off) a long time ago, your books are overstating what people owe you. This makes your financials look better than reality and can lead to bad business decisions.

4You've Got Negative Bank Balances

Your bank balance in QuickBooks should never be negative (unless you actually overdrew your account). A negative balance usually means transactions were entered twice, deposits were missed, or transfers between accounts weren't recorded properly.

5You're Using the Wrong Accounts

We've seen rent posted to "Office Supplies." Loan payments coded as expenses instead of liability payments. Owner draws recorded as salary. These classification errors make your financial statements unreliable and can create tax problems — you might be deducting things you shouldn't (or missing deductions you should).

We reconcile all bank and credit card accounts, recategorize transactions, clean up the chart of accounts, fix accounts receivable and payable, and deliver clean, accurate financial statements you can actually use.
